Simple Landlord Tools ("we," "us," or "our") provides free rental forms and an optional Landlord Portal and Tenant Portal at simplelandlordtools.com (the "Service"). This page explains what information we collect, how we use it, and the choices you have.

Information We Collect

Account information. If you create a free Landlord Portal or Tenant Portal account, we collect the email address and name you provide, either directly or through Google Sign-In if you choose that option. Account sign-in is handled by Firebase Authentication, a service provided by Google.

Property, tenant, and financial records you enter. If you use the Landlord Portal, information you choose to save - such as property addresses, tenant names, contact details, unit numbers, rent amounts, payment records, expenses, and saved documents - is stored in our database (Google Firebase/Firestore) under your account. This information is only accessible to your own account; we do not share it with other landlords or make it public.

Tenant Portal information. If a tenant creates their own Tenant Portal account using an invite code from their landlord, we collect the information they provide (such as name and contact details) and any maintenance requests they submit. This information is shared only with the landlord who invited them.

Contact form submissions. If you send us a message through our Contact page, we collect your name, email address, topic, and message so we can respond to you.

Information collected automatically. Like most websites, our server and third-party services (described below) may automatically log basic technical information such as your IP address, browser type, device type, and pages visited, for security and site-performance purposes.

How We Use Information

• To provide, maintain, and improve the Service, including generating the documents and reports you request
• To create and secure your Landlord Portal or Tenant Portal account
• To respond to messages sent through our Contact page
• To detect and prevent spam, abuse, and security issues
• To understand, in aggregate, how the Service is used so we can improve it

We do not sell your personal information, and we do not use the property, tenant, or financial records you enter into your Landlord Portal for advertising purposes.

Third-Party Services We Use

Google Firebase. We use Firebase (Authentication and Firestore Database) to power account sign-in and to store the data you save in the app. Firebase is operated by Google; see Google's Privacy Policy for details on how Google handles this data on our behalf.

Google AdSense. Free pages on our website may display ads served by Google AdSense. Google and its partners may use cookies or similar technologies to serve ads based on your prior visits to this or other websites. Affiliate links. Some pages on our site include affiliate links (for example, through the CJ Affiliate network). If you click one of these links, the partner company may place a cookie to track the referral; this does not give us access to your personal information from that site.

Data From Tenants Entered by Landlords

Our Landlord Portal lets landlords store contact and rent information about their own tenants. If you are a landlord using this feature, you are responsible for having the appropriate legal basis to store your tenants' information and for complying with applicable privacy and landlord-tenant laws in your area. If you are a tenant and believe your information was added to our Service by your landlord and you have concerns about that information, please contact us at support@simplelandlordtools.com.

Data Retention and Deletion

We retain account and portal data for as long as your account is active. You can delete individual records (properties, tenants, payments, expenses, documents) at any time from within the portal. To request deletion of your entire account and associated data, email us at support@simplelandlordtools.com.

Security

We use Firebase's security rules to restrict access to portal data so that only your own signed-in account (or, for tenant records, the landlord who added them and the invited tenant) can read or write it. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices.

Children's Privacy

The Service is intended for use by adults managing or renting residential property and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Your Choices

You can review and edit most of the information you've saved directly within the Landlord Portal or Tenant Portal. You can also request access to, correction of, or deletion of your personal information by contacting us below.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page.
